Project management: what is it all about

There are 4 variables to effective project management: expenditure, timing, time and producing a satisfactory result. Qualified project managers also aim at making the organization of work more efficient. Look at your project and you will notice that it employes labour, money and equipment to produce needed results. You should know that there are a number of factors that are very important for efficient project management. A couple of them can be found below:

- Goal setting and assessing progress.

- Handling risks. Most have a this or that level of risk.

- Choosing labor and equipment for the project.

- Having a clear idea about the product you want to see when the project is finished.

- Supervising the project in terms of who is performing what and when.

- Making sure that the products of the project are up to standard.

- Managing changes. Everything changes. The majority of projects occur in time, so the element of change has to be properly considered.

- Exchanging information with sponsors and participants of the project.

Conventional methods of supervising projects, such a pen and a notepad, can be used to do most of these things. Nevertheless, dedicated project tracking software offers a number of important advantages:

- Task are easier to assign to time blocks. The software will automate scheduling calculations. It is possible to create work time-tables for various resources. Managing work-in-progress also becomes less of a problem.

- Managing a few projects with different prerequisites. Management can employ project tracking software to facilitate analysis of several big projects.

- Critical path becomes nicely observable. The critical path is an important concept in project planning. Should an activity on this path take less or more time, the whole project is going to be affected. At the same time for activities that are not on the critical path small changes in how long it takes can have no influence whatsoever on the project.

- Letting everybody involved know what is going on. The more complicated are the project requirements, the more of them have to be discussed. Productivity tracking software makes dissemination of data easier than it has ever been before.

Should you always go for task tracking software?

Project management software might not be suitable in 100 percent of all cases. It produces the best value when used for a number of big projects. Small projects can be managed using a spreadsheet program which allows you to save on overhead costs of managing such complex software.
